1. BOOKINGS

• All details provided in client itineraries are accurate to the best of our knowledge and based on the most up-to-date information available. Equator Touring is not responsible for changes made by third parties or any typographical errors.
• To secure a booking, we require your full name (as it appears in your passport), nationality, and passport number to facilitate the necessary travel arrangements. Please refer to our booking guidelines for specific requirements.
• Clients must inform Equator Touring of any special requests, including dietary needs, medical conditions, or accessibility requirements before finalizing their reservation. While we strive to accommodate such requests, we will confirm feasibility on a case-by-case basis.
• All bookings are subject to availability and are only confirmed once officially acknowledged by Equator Touring. Early reservations are highly recommended.
• If a client wishes to modify their booking, Equator Touring will make the necessary adjustments where possible. Any changes may incur additional costs, which will be reflected in the final invoice.
• Equator Touring reserves the right to adjust itineraries, accommodations, transport, or services in case of unforeseen circumstances before the start of the tour. Any such changes will be communicated promptly.

2. PRICING

• The prices listed for our tour packages include, unless stated otherwise: accommodation, meals as specified, guided tours, park entrance fees, ranger fees, ground transportation, airport transfers (where applicable), and bottled water in the tour vehicle.
• The following expenses are NOT included: international and domestic flights, visa and passport fees, meals not specified in the itinerary, beverages (other than bottled water), gratuities, laundry, personal expenses, and travel insurance.

3. TOUR EXECUTION

• Accommodation arrangements are based on single, twin, double, or shared occupancy as per the client’s selection and availability. Private facilities are provided where applicable.
• Transportation may include private 4×4 safari vehicles, minibuses, or domestic flights, depending on the itinerary. While every effort is made to provide well-maintained vehicles, Equator Touring is not liable for delays or inconveniences caused by mechanical issues or road conditions.
• Wildlife sightings are not guaranteed as they depend on natural factors. Guests are advised to follow all safety guidelines provided by our guides and park rangers.
• Equator Touring reserves the right to engage subcontractors for certain services within the agreed tour package.
• If a participant’s behavior endangers others, disrupts the tour, or causes damage to property or the environment, Equator Touring reserves the right to remove them from the tour without a refund.

4. PAYMENT POLICY

• A 50% deposit is required to secure a booking.
• For Gorilla and Chimpanzee trekking permits, 100% advance payment is required at the time of booking.
• The remaining balance must be paid at least 45 days before the tour begins. For group bookings, final payment must be received at least three weeks before departure unless otherwise agreed.
• Failure to meet payment deadlines may result in cancellation of the booking.
• Equator Touring accepts payments in USD ($) and Euros (€) via bank transfer, online payment links, or mobile money.

5. CANCELLATIONS & REFUNDS

• All cancellation requests must be made in writing.
• We strongly recommend purchasing comprehensive travel insurance at the time of booking to cover unexpected cancellations.
• Cancellations made within seven (7) days of the tour are non-refundable.
• Cancellation fees apply as follows:
  • More than two months before the trip: 15% deduction, 85% refund.
  • One month before the trip: 20% deduction, 80% refund.
  • Less than one month before departure: No refunds.
• No refunds will be issued for unused services, late arrivals, or no-shows.
• No refunds will be issued once the tour has commenced.
• Gorilla and Chimpanzee Trekking Permits are non-refundable.

6. COMPLAINTS & FEEDBACK

• Equator Touring values customer feedback and continuously works to enhance our services.
• Complaints should be directed to an Equator Touring representative during the tour or submitted in writing via email no later than 15 days after tour completion.

7. LIABILITY & RESPONSIBILITY

• Equator Touring ensures that all services are arranged with reputable providers. However, we cannot be held liable for third-party service errors, omissions, or changes beyond our control.
• Equator Touring is not responsible for any personal injury, loss, or damage to property during the tour.
• While we take precautions to safeguard guests’ belongings, Equator Touring cannot be held responsible for lost or stolen items.
• Equator Touring is not liable for disruptions caused by force majeure, including but not limited to natural disasters, political instability, airline delays, pandemics, civil unrest, government regulations, strikes, or other events beyond our control.
• It is the responsibility of clients to ensure they have valid passports, visas, travel insurance, vaccinations, and other necessary documentation before travel.
• Clients are advised to take appropriate medical precautions before traveling. Consult your physician regarding vaccinations and other health recommendations.
• International travelers are strongly encouraged to obtain comprehensive travel insurance before visiting Uganda or other destinations on our itineraries.
